The problem

A restaurant is responsible for eight to nine recurring services that must be performed on schedule and documented: hood cleaning, kitchen suppression, portable extinguishers, sprinkler inspection, grease interceptor pumping, backflow testing, and fire alarm testing. Each service is performed by a different vendor, and each vendor emails its report to whoever booked the appointment.

When a manager leaves or a phone is replaced, those reports become unrecoverable. The operator is left reconstructing two years of service history from memory while an inspector waits.

Existing products require the operator to sign in and upload each document. In practice that does not happen, which is why the folder is empty at the moment it is needed. Binder removes the upload step.

How it works

  1. Add a location. Binder issues a dedicated address for it, in the form joes-pizza-k7m2qx@in.ComplianceBinder.com.
  2. Give that address to your vendors. Ask them to copy it when they send a report, or forward the reports you already receive. No account or software is required on their side.
  3. Confirm what Binder read. The service type and date are extracted from the document and presented for confirmation. No value is recorded until you confirm it.
  4. Receive notice before an interval lapses. Warnings are sent at 30, 14 and 3 days, and on the due date, in each location's own timezone.

Producing records on request

Each location supports a read only link suitable for an inspector, an insurer, or a franchisor. The link expires on a date you choose, can be revoked at any time, and records each time it is opened. The recipient does not need an account.

Questions

Why not keep the reports in a shared folder?

For a single location and one person who never leaves, a shared folder works. The difficulty is not storing a document, it is filing every document from eight vendors, every time, for years.

The difference that matters is absence. A folder can show what is in it. It cannot tell you that a hood cleaning due in March never happened, because a folder missing a document looks exactly like a folder that is complete. Binder holds the interval for each item, so it can report what is missing rather than only what was filed.

The reports already arrive by email. Why not archive them there?

An archived thread sits in one mailbox. When that person leaves and the mailbox is closed, the history goes with it, which is the most common way a record is lost.

Search also asks you to know the term. A search for a hood cleaning returns the appointment confirmation, the invoice, the marketing email and the report, which is workable at a desk and not workable with an inspector waiting. A mailbox also cannot be shown to an inspector without showing everything else in it.

My vendor keeps copies. Can I not just call them?

Usually yes, and for a single service with one long-standing vendor that is a reasonable answer.

It gets harder with eight vendors, on a Saturday, when the technician who did the work has left, or after you have changed suppliers and the previous one has no particular reason to help. Their copy also evidences their own work. It does not give you one view of every obligation attached to the premises, which is what you are asked for.

Do my vendors have to sign up or learn anything?

No. They send email, which they already do. You give them an address, or you forward the reports yourself. There is no portal for them, no account, no software, and nothing for them to agree to. This is deliberate: any product that requires the vendor to change how they work does not get adopted by the vendor.

What happens when the manager who set this up leaves?

Nothing. The address belongs to the location rather than to a person, the documents belong to the account, and access is granted and removed from the settings page. This is the failure the product exists for.

Is this a compliance certification?

No, and it will not describe your premises as compliant. Binder records what your vendors sent and what you confirmed, and reports what those records show. Whether a premises complies is determined by your authority having jurisdiction, and the intervals shown in the product are defaults drawn from published standards, cited as such and yours to override.

What does it cost, and what happens if I stop paying?

$39 per location per month, with no setup fee, no per user fee and no annual contract. 30 days free without a card. If you stop paying, adding and confirming new records requires a payment method again, while reading, sharing and exporting what you already have continue to work. Records are never withheld.

What if a date is read from a document incorrectly?

Nothing is recorded until you confirm it. The service type and date are extracted and shown next to the document for you to accept or correct, and Binder records who confirmed each value and when. An ambiguous date on a scan, for example 03/04/2026, would otherwise move a deadline silently.

Can I get my documents out?

At any time, including after cancelling. The export is a manifest of every record with a link to each stored file. Deleting a document deletes the stored file rather than hiding it from you.

I have never been asked for any of this.

Then there is no hurry. The people this helps are the ones who have been asked and could not produce it, or who have just changed insurer, opened a second location, or taken over a site whose history came with it. If none of those describes you, a folder is fine and this is not worth $39 a month yet.
